How to Configure After-Hours Routing in WebFones
In WebFones, after-hours call handling is built around three connected pieces: a call flow for after hours, a schedule that defines when those hours begin and end, and a routing rule that ties the two to your phone number.
Step 1 - Build an After-Hours Call Flow
Go to Call Flows and create a new flow specifically for after-hours use. Give it a clear name. Inside the flow, add a Text-to-Speech command with your after-hours message. State that the dealership is closed, give your actual business hours, and tell the caller exactly what to do next. A practical example: "Thank you for calling [Dealership Name]. Our showroom is closed. Sales hours are Monday through Saturday, 9 a.m. to 8 p.m. Please stay on the line to leave a message and a team member will return your call first thing tomorrow."
Below the Text-to-Speech command, add a Transfer to Voicemail command pointed at the appropriate voicemail box. The hours you state in the message must match the schedule you configure next. Mismatches confuse callers and erode trust.
Step 2 - Set Your Office Hours Schedule
Go to Schedules and open the default schedule. Update it to reflect your actual operating hours for each day of the week, including any variations for Sundays or holidays. This schedule tells WebFones when to switch from normal call routing to the after-hours call flow. Update the schedule before seasonal or holiday changes take effect.
Step 3 - Apply After-Hours Routing to Your Phone Number
Go to the Numbers page and select the phone number you want to configure. Open the Routing tab and find the Special Routing section. Choose "After-hours" from the dropdown, link it to the default schedule, and point it to the after-hours call flow you built in Step 1. Once saved, calls arriving outside your scheduled hours will follow that flow automatically.
Giving Callers a Way Out of the Queue
If your dealership runs a call queue during business hours, after-hours configuration matters there too. A call queue holds incoming callers while available agents are reached, playing hold music while the system rings according to your queue rules. WebFones lets you configure a call queue so that callers can press 0 to exit the queue and route to voicemail. That setting lives in your call queue configuration and can point to any voicemail destination you choose. A customer who calls one minute after closing and ends up in a queue can leave a message immediately.
Park Timeout Behavior
Park timeouts automatically ring back to the person who originally placed the call on park. This behavior cannot be programmed to go to voicemail or any other destination. The park timeout duration can be adjusted in the phone preferences page under admin, but the ringback destination cannot be changed. When a use case does not fit standard park functionality, consider call queues as an alternative workflow.
Fixing Misrouted Call Forwards
If callers ask for a completely different business, someone may have accidentally forwarded their calls to your number. Try to contact the company using their website, via email, or using a secondary phone number. Let them know that their callers are being routed incorrectly. This is not a WebFones configuration issue.
