How to Boost Your BDC Appointment Show Rate to 65%+
Setting the appointment is half the battle. Getting the customer to actually show up is the other half — and it's where most dealerships lose 40-50% of their BDC's work.
The industry average show rate is 52%. Top performers hit 65%+. The difference isn't customer quality. It's confirmation process.
The Confirmation Workflow
Immediate confirmation (within 60 seconds of setting). A text message: "Hi [name], this is [agent] at ABC Motors. I've got you confirmed for [date] at [time] to see the [vehicle]. I'll have it pulled up and ready for you. Reply C to confirm."
Day-before reminder (24 hours prior). "Just a reminder — your appointment at ABC Motors is tomorrow at [time]. Looking forward to seeing you! Reply R if you need to reschedule."
Same-day reminder (2-3 hours prior). "See you today at [time]! We're at [address]. Ask for [agent] when you arrive." Include the address — customers may have forgotten which dealership they're visiting.
No-show follow-up (30 minutes after missed appointment). A call, not a text: "Hi [name], it's [agent] from ABC Motors. I had you down for 10:00 today — just wanted to check if everything's OK. We still have the [vehicle] set aside if you'd like to reschedule."
Why Show Rates Drop
The biggest show-rate killer is time gap. An appointment set on Monday for Saturday gives the customer five days to find another dealership, lose interest, or simply forget. Shorter booking windows (next-day appointments) show at 15-20% higher rates than appointments set 4+ days out.
Call Intelligence captures the appointment details from the original call and can flag when confirmation workflows are completed or missed.
