What Customers Experience

The caller is transferred to sales. They hear hold music — or worse, silence. After 30 seconds, they check their phone. After 45 seconds, they start to feel ignored. After 60 seconds, they're weighing whether to hang up and call another dealership. After 90 seconds, most of them do.

The Fix: Eliminate Unnecessary Holds

Direct routing by department. Callers press 1 for sales, 2 for service. The call goes directly to the right ring group — no receptionist transfer required.

Ring groups with simultaneous ring. When a call hits the sales ring group, every available salesperson's phone rings at the same time. First to answer gets the call. No sequential ring that adds 5-10 seconds per empty desk.

Call parking instead of blind transfer. Instead of transferring a caller and hoping someone picks up, the agent parks the call and announces it. The receiving person picks up the parked call when ready. The caller hears hold music, but the process is controlled and fast.

Queue messaging. When holds are unavoidable, a queue message with estimated wait time sets expectations. "You're next in line — estimated wait about 30 seconds" is dramatically more tolerable than silence.
