A phone-up is not a walk-in. The customer can't see the vehicle, can't touch it, can't smell the new-car interior. All they have is a voice on the other end of the line and 90 seconds to decide whether this dealership is worth their Saturday morning.

Top dealerships treat phone-ups as a distinct sales process — not a shortened version of the showroom floor process.

The 5-Step Phone-Up Process

Step 1: Capture and connect (0-15 seconds). Answer within three rings. Use a warm greeting with your name. Ask an open question: "What can I help you find today?" The goal is to make the caller feel like they reached a person, not a phone tree.

Step 2: Discover and qualify (15-90 seconds). Ask three questions minimum: What are they looking for? What are they driving now? What's prompting the change? Each answer gives you ammunition for the value bridge. A caller who says "my lease is up next month" is in a completely different urgency bucket than one who says "just starting to look."

Step 3: Value bridge (30-60 seconds). Connect their stated needs to specific inventory. "You mentioned space for the car seat and under $35K — I've got a Tucson SEL with all-wheel drive that checks both boxes. It's here on the lot right now." Specificity creates urgency. "We have lots of options" creates indifference.

Step 4: Appointment close (15-30 seconds). Two-option close: "I can have it pulled up and detailed for you — would tomorrow at 10 work, or is 2:00 better?" If they hesitate, reduce the commitment: "Just 20 minutes to see it in person. No pressure."

Step 5: Confirm and prep (30 seconds). Repeat the appointment details. Get their name and contact number. Send an immediate confirmation text. Log the appointment in the CRM before hanging up. "You'll get a text from me in about 60 seconds confirming everything."
